1. Information We Collect

When you use pinecodeals, we collect the following types of information:

• Account information: name, email address, and company name provided during registration.
• Knowledge base documents: files you upload (case studies, pricing sheets, service descriptions) to generate proposals.
• Proposal data: client names, context descriptions, and generated proposal content.
• Usage data: proposal views, section engagement metrics, device type, and approximate location of proposal viewers.
• Payment information: processed by our payment provider; we do not store credit card numbers.

2. How We Use Your Data

• Generate personalized proposals based on your knowledge base and client context.
• Provide real-time analytics on proposal views and engagement.
• Improve the quality of AI-generated proposals for your account.
• Send transactional emails (proposal notifications, account updates).

3. Data Isolation & Security

Your data is strictly isolated from other organizations through multi-tenant architecture with row-level security. All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Your knowledge base documents and proposals are never shared with, accessible to, or used to train models for other customers.

4. AI & Model Training

Your documents are not used for AI model training.When we generate proposals, your knowledge base content is sent to the AI provider (Anthropic Claude) as context for that specific generation request only. It is not retained by the AI provider for training purposes. We use Anthropic's commercial API which explicitly excludes customer data from model training.

5. Data Retention

Your account data, knowledge base documents, and proposals are retained for as long as your account is active. Upon account deletion, all associated data (including uploaded documents and generated proposals) is permanently deleted within 30 days. Proposal view analytics are anonymized after 12 months.

6. Your Rights

You have the right to:

• Access all data we hold about you.
• Export your proposals and knowledge base documents at any time.
• Request deletion of your account and all associated data.
• Opt out of non-essential communications.
